                              What is DGTrack ? 
                             ͼ

DGTrack is an attendance & tardy database system designed for HR managers,
teachers, social groups, etc. 

Via a intuitive Lotus style menu, DGTrack allows endusers to:

        enter new or edit existing absence and tardy data into a user     
         friendly screen

        define absence and tardy categories and descriptions

        set quantitative attendance and tardy policies

        generate a history report on any individual

        generate a daily "reprimand" report, indicating individuals that  
         have just exceeded the attendance or tardy policy

        generate a daily "reprimand imminent" report, indicating
         individuals that are ABOUT to exceed the attendance or tardy
         policy

        Query (by temporarily changing the attendance / tardy policy) and 
         obtain virtually any statistics on the database


DGTrack is a Paradox 3.0 based application, however Paradox 3.0 is not
required for execution.  The required Paradox RunTime 3.0 files are legally
provided, at no cost to you as an enduser, in full accordance with Borland
International policy.

DGTrack .Zip   contains all files required to run DGTrack, INCLUDING
               Paradox 3.0 Runtime and Custom files

DGTrackX.Zip   contains all files required to run DGTrack, EXCEPT
               Paradox 3.0 Runtime and Custom files.  This file is
               intended to reduce download time for legitimate Paradox
               3.0 and Paradox 3.0 Runtime users.

                   Installing DGTrack to Your Hard Drive

Since the .Zip file contains many files, we suggest you create a
subdirectory called DGTrack, into which you perform a straightforward
UnZipping.  Under this scenario, you must execute from, perform all work,
and contain all files within this subdirectory.

However, if you are already a registered Paradox 3.0 user, or have already
legitimately installed the Paradox Runtime 3.0 files into a separate
subdirectory for use with other applications, and Paradox / Paradox Runtime
in appropriately contained in your Path statement, then you can erase the
Paradox Runtime 3.0 files from the DGTrack subdirectory.  Under this
scenario, you STILL must execute from, perform all work, and contain all
files within this subdirectory.

With regard to Config.Sys, DGTrack requires a minimum of Files=20,
Buffers=20,  and the Ansi.Sys device driver.

                     Configuring DGTrack for your System

You will probably want to configure DGTrack for your printer, screen, etc.

To do so, at the DOS prompt, while in the directory in which the DGTrack
files are installed, type DGTrkCfg, then Enter.  Doing so executes a one
line DOS batch file, DGTrkCfg.Bat.  The batch file executes the Paradox 3.0
Runtime program PDoxRun3.Exe, and runs the Paradox code (script) file
Custom.Sc.

The "Custom files" are not provided with Paradox 3.0; they are included
within purchased copies of Paradox 3.0.  However, Borland International
policy specifically allows developers that have properly purchased and are
registered users of Paradox Runtime 3.0 to distribute these files, at no
cost to the enduser, with completed applications such as DGTrack.

The Main Menu for the Custom Configuration program is also an intuitive
Lotus style menu system.  After the Paradox Runtime SplashScreen, you will
see:

You can safely explore this menu to locate the appropriate selection;
unless you select the Do-It! choice to exit the program, no changes will be
saved.  To exit without a save, select Cancel.

You should be able to easily locate the appropriate selections via
exploration, or by selecting Help within the program, therefore we have
chosen not to further document the configuration process.

                              Starting DGTrack

To start DGTrack, at the DOS prompt, while in the directory in which the
DGTrack files are installed, type DGTrack, then Enter.

Doing so executes a one line DOS batch file called DGTrack.Bat.  The batch
file executes the Paradox 3.0 Runtime program PDoxRun3.Exe, and runs the
initial Paradox code (script) file AbRec.Sc.

You will first see the Durham Group DGTrack Splash Screen and a request for
a password.  DGTrack, however, is not presently password protected.  Strike
Enter, and DGTrack progresses to the Main Menu.

On the top line of the screen, you will see the DGTrack Main Menu.  This
menu is an intuitive, Lotus style menu that looks like this:

Notice the description on the line directly below Absence.  This line
describes in more detail what the currently highlighted menu choice does.

Strike the right arrow key once to see the description for reports.  Repeat
this process to review each description.

To select any menu choice, highlight it, then strike Enter.  You may also
strike the first letter of your choice to select it.  Below is a diagram of
the complete structure of the DGTrack menu tree.  Following the diagram is
a detailed description of each menu function.

Absences

	Select this menu choice to input this day's absences and tardies.  You
     will date the batch of data entries using the DateStamp menu
     selection.  If you make any errors in entering the data, you may make
     changes later using the menu choice Edit.  All data is "keyed" by
     individual number, therefore an error in entering the individual
     number will cause reporting errors.

Reports

     Select this menu choice to send any of your reports to the printer.

    Reprimands

	Select this menu choice for printing this day's report on reprimands
     due and imminent.

        Group

            Select this menu choice, and you will receive a report sorted
            by group of all reprimands due and imminent.  Each group will
            print on a separate page.  Be sure your printer is on and that
            you have adequate paper.

        Individual

            Select this menu choice, and you will receive a report sorted
            in individual order of all reprimands due and imminent.  Be
            sure your printer is on and that you have adequate paper.

    History

        Select this menu choice to print all of the Absentee History
        Reports that have been placed in the queue (see History below).

    Codes & Values

        Select this menu choice to print a list of all the current absence 
        codes and their values.  (You may browse or edit the codes and
        values under Policy).

DateStamp

    Select this choice as you prepare to enter a batch of data.  Enter the
    date corresponding to the data for this day.  Remember that yesterday
    is the last working, not calendar, day for the individual.  When you
    select Calc, all the data that has been entered that has not been
    previously been Calc-ed will be DateStamp-ed using these dates.

    The "this day/yesterday" convention allows you flexibility for groups
    of individuals with different schedules.  If an individual works Monday
    through Saturday, and is absent on Monday, enter the Monday date as
    "this day", and the previous Saturday as "yesterday."  If he/she was
    also absent Saturday, the program will "make the connection," and
    continue his/her period of absence across the days.  It is a good idea
    to sort such data into separate batches based on differing schedules
    prior to entering any data, then to DateStamp and Calc each batch
    separately on the extraordinary days when this occurs.



History

    Select this menu choice when you want a report on one or more
    individuals that list their entire absence history.  You will not get
    the report immediately.  After the next Calc, the report will be ready
    to print; all the information will be placed in the queue.  The queue
    can be printed by selecting Reports History.  You can, however,
    continue to add individuals, as you wish, as often as you wish, prior
    to the next Calc.  When you select Reports History, each individual
    history will print on a separate page.

    DGTrack is designed in this manner because Paradox, like other database
    products, is "disk-intensive."  Throughput is less than RAM-oriented
    products such as 1-2-3.  This is a tradeoff; file sizes and
    calculations are not limited by RAM, but only by your total hard drive
    capacity.  Therefore, all the "data searching" done on the hard drive
    has been grouped under the single function Calc.  Therefore, if you
    have a large database, or a slower hard drive, you can ask the program
    to perform the Calc at a time that is convenient for you, such as when
    you are away from your PC.

    A history report will be automatically generated for any individual
    that you Terminate (see below).  since Terminate completely removes an 
    individual from the database, you are assured of having a "hard copy"
    of the individual's history for your files.

Edit

    Select this menu choice when you wish to browse the database, or if you
    need to change or correct some of the data you have already entered. 
    You are free to change or delete records, but not to insert any new
    records.  Refer to "Useful Paradox 3.0 Keys to Remember" for quick and
    efficient movement through the database.

    Here is an example where Edit can be a efficient approach to entering
    data:

    Suppose you do have a single "Saturday" individual (as discussed under 
    DateStamp).  You could just enter his/her absence with the rest of the
    Monday individuals, Edit the record, entering the correct "this day"
    and "yesterday," then Calc as usual, as opposed to two complete batch
    data entry and calc processes.

Terminate

    Select this menu choice when you wish to delete an individual and his
    records from the database.  You should need to develop a criteria for 
    doing so; hard drive space is, of course, not unlimited, and larger
    databases take longer to Calc.  You can continue to add individuals to
    the list to be terminated as you wish, as often as you wish, prior to
    the next Calc.

    Warning!  Anyone you Terminate is permanently removed after a Calc, and
    cannot be unerased.  However, as stated above, you will automatically 
    receive a total Absentee History Report on the individual for your
    files.

Policy

    Select this menu choice if you wish to alter the policies that
    determine when a reprimand will be issued.  Changes made here will
    affect the status of every individual in the database.  DGTrack allows
    only "one policy in force" at a time for the entire database.


    You can also use these menu choices to play "What-If", to query the
    database, or to answer your questions about absenteeism by changing the
    policy screens.  Calc-ing, generating reports, then returning to the
    old policy.  You might ask "What if the policy was a reprimand at seven
    tardies - How many reprimands would be due?" using this method.  You
    might change the tardy reprimand policy to 1, then print the reprimand
    report to see which individuals have tardies.

    The type and amount of information you can glean from the database in
    this manner is only limited by your imagination.

    Reprimand

        Select this menu choice when you wish to alter the number of
        violations required to issue a reprimand.  For example, if you wish
        for six tardies to generate a reprimand, each with a value of one
        (more on values below), enter six into the appropriate screen.
        During the next Calc, the entire database will be adjusted and 
        reevaluated based on any Policy Reprimand changes.

    EnforcementPeriod

        Select this menu choice when you wish to alter the number of days
        that DGTrack will "look back" for violations.  For example, if you
        wish of six tardies WITHIN 90 DAYS to generate a reprimand, enter
        90 into the field on this screen.  During the Calc, the entire
        database will be adjusted and reevaluated based on the
        EnforcementPeriod change.

    Values

        Select this menu choice when you wish to alter the value of each 
        violation.  Most likely, you will want the value to be one.  The
        might be situations where you would want the value to be different.
        Suppose you want ten tardies equal to one unexcused absence.  You
        would bring up the entry for Tardy, and change its Unexcused Value
        from 0 to .1 .  Work with option carefully in order to obtain the
        desired policy.

    Codes

        Select this menu choice when you wish to change or add to the valid
        absence codes.

        EnterNew

            Select this menu choice when you wish to add a new absence
            code.  You may enter as many codes as you like.

        BlanketChange

            Select this menu choice when you wish to change an existing
            absence code to a new one.  Suppose you wanted to change "T"
            for Tardy to "Z" .  During the next Calc, all of the "T"s in 
            the absentee data base will be changed to "Z"s.  If you wish
            to change more than one absence code, you will have to Calc
            first.  However, once you decide on your absence code
            structure, you will probably not want to change a code very
            often.

Quit

    Select this menu choice to leave DGTrack, you will be asked to confirm
    your  exit.

                       The Limited Version of DGTrack

If your version of DGTrack states "Limited" at the SplashScreen, then you
are, indeed, executing the Limited Version of DGTrack.  This version is an
exact replica of the Unlimited Version of DGTrack in every way except that:

        The Absences menu choice is non-functional.  Selecting this choice
         will reveal a non-functional screen and a message to the user,
         then return to the Main Menu.

        Absence and tardy data must be entered through the Edit menu
         choice.  The unavailable Absence screen is identical in appearance
         and function to the Edit screen (except that, since you are
         "batching in" new entries in the Absence screen, you do not see or
         cannot browse the "old" records).

        500 blank records are provided into which you may enter data.  You
         may use the Paradox 3.0 editing keys (see Some Useful Paradox 3.0
         Keys to Remember) to change the data in the records, but each time
         you use the Delete key to remove a record, you lower the 500
         available records limit by one record.


By logically dividing the record-keeping process into smaller subunits,
and/or placing multiple copies of DGTrack in separate subdirectories, the
Limited Version of DGTrack will effectively provide an unlimited number of
records.  Further, our client experiences have been that smaller
applications can be effectively run on 500 records.


Durham Group does not solicit any shareware payments, nor does DGTrack
display any "beg" screens, with respect to the Limited Version.

                      The Unlimited Version of DGTrack

The Unlimited Version of DGTrack can be purchased direct from Durham Group
for $29.00.  You will receive a .ZIP file on diskette identical to the
Limited Version, with no limitations.

Records entered into a copy of the Limited Version can easily be loaded to
the Unlimited Version without rekeying.  To do so:

        Create a new directory called Limited to hold the Limited Version
         files

        Copy the files in the DGTrack subdirectory to the Limited
         subdirectory

        Erase all files in the DGTrack subdirectory

        Install the Unlimited Version in the same manner as the Limited
         Version

        Copy all files with a .Db extension in the Limited subdirectory
         back to the DGTrack subdirectory

        Erase the Limited subdirectory files, or copy them to floppy
         diskettes

        Remove the Limited subdirectory


To purchase the Unlimited Version:

                        DGTrack Terms and Definitions 
                       ͼ

Absence      A one or two letter alphanumeric symbol you assign to
             represent a particular type of absence.  DGTrack already
             includes some examples, such as "H" for Holiday, or "CC" for
             child care.

Absence      The amount an individual "will be charged" for the absence. 
             This Value amount relates to the policy you have set for
             issuing reprimands.  An absence value may be any non-negative
             whole or decimal number.

Batch        A "batch" of data is data that is intended to be entered or
             processes at the same time.

Enforcement  A part of your policy.  The number of days that DGTrack
Period       "looks back" for violations.  If your policy is a reprimand
             for six tardies within 90 days, then your enforcement period
             is 90 days.  DGTrack allows only one enforcement period for
             the entire database/policy.

History      Also called History report.  A complete listing of an
             individual's absence and tardy data.

Imminent     An "imminent" violation means 1 violation value less than
             required to issue a reprimand.

Individual   A Human Resources manager would probably define an
             "individual" as an employee, while a teacher would define
             "individual" as a student.

Period of    A series of single absences, which is continuous over a
Absence      sequence of working, not calendar, days.

Regular      Referred to simply as Absence.  Think of a regular absence as
Absence      an excused absence, which is less serious than an unexcused
             absence (but will count against the individual if you assign
             it a value under Policy).

Terminate    Permanently remove all records for an individual from DGTrack.

This Day     "This day" does not have to be today's real date or the date
             on the PC, however "this day" cannot be earlier than the last
             date for which you have entered data.

Paradox      The relational database product used to develop DGTrack. 
             Paradox is a registered trademark of Borland International.

Policy       The general term for the absence codes, absence values,
             enforcement period, and absence and tardy limits that you set.

Group        A flexible basis for summarization.  A Human Resources manager
             might wish to define "groups" as departments or locations,
             while a teacher might define "groups" as class periods, etc.

Unexcused    As opposed to a regular absence.  A separate count of absences
Absence      designated as unexcused is maintained by DGTrack, and can be
             the basis for issuance of reprimand, exclusive of regular
             absences.

Yesterday    The last working (not calendar) day, as it relates to the
             specific individual or group.

Queue        In DGTrack, a group of reports "lined up" to print.

F2         Do-It!    Go ahead and save your work or perform the requested 
                     action, then exit back to the menu

Esc        Escape    Exit back to the menu without saving your work

Alt-F7     Instant   Print out the entire database you are presently
           Report    working on

Ctrl-D    Ditto      Copy the exact same data into a field from the record
                     above

Ctrl-U    Undo       Undoes the last change you made to a record

Ctrl-Z    Zoom       If you want to find and goto a particular record
                     based on a value.  For example, put the cursor in the
                     number field, strike the Zoom key, enter the number at
                     the Value? prompt, and the first occurance of that    
                     number will appear.

Alt-Z     Zoom       Works like Zoom; jumps to the NEXT occurance in the
          Again      database.

F3/F4     Toggle     If you have more than one database (or window) on the
          Window     screen at a time, strike either of these keys to move 
                     from one to the next.


Ctrl-     Big Erase  Erases data in the whole field
Backspace

Alt-F5    Field      Like the Edit key in 1-2-3/Symphony.  Allows you to
          View       move around within a field and "correct typos."

Home                 Goes to the very first record

End                  Goes to the very last record

Insert               Opens a place for a new record

Delete               Removes the current record
