FREE-FAX Print DESCRIPTION

You use FREE-FAX Print Scheduler to :
- setup a
FREE-FAX Address and mailbox on the appropriate FREEFAX.NET server
- schedule retrieval and printing of your FREE-FAXes from your FREE-FAX Mailbox
- re-direct incoming FREE-FAXes, Regular Faxes or EMail to any Regular Fax machine, FREE-FAX Address or EMail Address
- relay incoming FREE-FAXes to Regular Fax machines anywhere in the world
And if you use Microsoft Outlook/Exchange and Microsoft Fax
- schedule retrieval of your regular EMail
- schedule automatic printing, forwarding and relaying of incoming regular faxes.

FREE-FAX Print is composed of two executable programs.

FREE-FAX Print Scheduler ...........FFSchedule.exe
and
FREE-FAX Print Utility ...................FFPrintU.exe

The FREE-FAX Scheduler should always be running.

The FREE-FAX Print Utility is the slave of the FREE-FAX scheduler. It does the actual work of downloading and printing. You do not need to start it.

WHAT YOU NEED
- an IBM Compatible PC with 16megabytes of Random Access Memory running MS Windows95 or Windows 98 operating systems
- a Printer, Laser or Bubble-Jet, directly connected or available via a LAN connection.
- an Internet connection, dial-up or permanent.
NB Fax files can get very large. The more RAM memory you have and the faster your CPU cycle time, (the bigger the MHz number) the faster the rendering and printing process will be performed.

Essential software available free with Windows 95 & Windows 98

MS WIndows Messaging...also known as MS Exchange Client....also known as MS Outlook also known as MAPI. They are all FULL MAPI Clients and the same basic software in different disguises. If you have an INBOX on your desktop it is already installed.
NB Although
MS Outlook Express shares a name with one of the above (who knows why ?) IT IS NOT THE SAME, IT IS NOT A FULL MAPI CLIENT and cannot be used for storing FREE-FAXes.
To install the Inbox you must use your Windows 95 or Windows 98 CD-ROM. NB For Windows 98 you will find Windows Messaging in the CD-ROM folder
\Tools\Oldwin95\Message\US or \Tools\Oldwin95\Message\Intl as appropriate. Look for and execute the file wms.exe.

MS Imaging Utility... also known as Wang Imaging .....also known as Eastman Software 'Imaging for Windows' .If you have Microsoft Fax installed then you also have the Imaging installed. If in doubt click 'Start | Programs | Accessories | Imaging '.
If not use Control Panel | Add/Remove Programs | Windows Setup to install from your Windows 95/98 CD-ROM. You can also download it FREE from

- If you plan to use
dial-up access to the Internet you should ensure that MS dial-up software is installed, (you should see a 'Dial-Up Networking' folder in your 'My Computer' window).
If not use Control Panel | Add/Remove Programs | Windows Setup to install it from your Windows CD-ROM

MS Fax, but ONLY if you want to automaticaly print, forward or relay incoming regular faxes. (NB It IS on the Windows 98 CD-ROM check in the folder \Tools\Oldwin95\Message\US or \Tools\Oldwin95\Message\Intl as appropriate. Look for and execute the file awfax.exe)

SETTING UP FREE-FAX
To use the FREE-FAX software you must start the FREE-FAX Scheduler (click Start | Programs | FREE-FAX | FREE-FAX Scheduler) and
fill in the required information.

NB you will need access to the Internet, either on a dial-up or a permanent connection.

Before starting you should :
- ensure that your printer is set up, switched on, loaded with paper, and functioning and
- connect to the Internet and check the connection.

To simplify the set up process and avoid any potential for error it is preferable that you do NOT schedule regular fax printing and regular email retrieval until FREE-FAX Print is functioning correctly.

NOW proceed from tab to tab entering as much information as you can paying particular attention to the entries that have an asterix (*) on the caption. These are obligatory entries. You may skip the 'Relay' and 'Forwarding' tabs, which can only be activated after you have completed the initial FREE-FAX Address setup.

When you have finished click '
Apply Settings' to save the information you entered. If you have missed any essential information you will be told by the program.
When all the information is complete, go to the 'User Profile' tab and click the 'Setup Address' button. This will create your FREE-FAX Address and mailbox on the FREEFAX.NET server.

To Test your set up
- wait for the message that indicates account set up was successfull
- click the button '
Send Test' to send a test FREE-FAX to the server
- wait for a message indicating that it was sent successfully
- click '
Get FREE-FAXes NOW' and the test FREE-FAX will be downloaded from the server and printed automaticaly on your printer.

TABS IN the FREE-FAX Scheduler window.

FREE-FAX Address.
If you plan to use a FREE-FAX Address then you should fill in your complete global fax number, your FREE-FAX Address will be entered automaticaly. For reasons of security your password will not be saved on your local hard drive unless you check the appropriate box.

EMail
Enter your current email information. This may be used when sending a FREE-FAX confirmation, in particular if the recipient's server is unreachable directly.

Internet Connection
You should choose your connection type, Modem or Network card.
NB This version of FREE-FAX Scheduler is not designed to be multi-homed, so switching between dial-up and network connections, even though you have both intalled, may not always work unless you also change the underlying network protocol entries via the main Windows Control Panel.

Connection Schedule
This should be self-evident. If you do not switch it on, you won't get your FREE-FAXes.
This is also where you can schedule retrieval of your regular email.

Printing
Choose the printer for your FREE-FAXes. Anything with 'fax' in it's name is excluded from the available list. Take care if you have special devices masquerading as printers. FREE-FAX works with laser and bubble-jet printers, other devices have not been tested.
FREE-FAXes are essentially email attachments. By default brief email header information is printed on a separate page prior to printing each FREE-FAX. When you register FREE-FAX Print you can switch this off, or opt to get the complete email header with all its tracking information. You can also opt to print, for each FREE-FAX, any information available concerning errors, printer problems, or incompatible attachments, or just have FREE-FAX Print silently ignore them. If the FREE-FAX contains text information in addition to, or in place of, the attached file this will be printed. Totaly empty FREE-FAXes are considered an error.

Relay
Relay is an added function that allows you to use FREE-FAX Print to convert FREE-FAXes to regular faxes and send them over the telephone network to any regular fax device. If you have an international business it allows you to save a lot of money. A server contract with FREE-FAX Inc. is required to activate this feature.

Forwarding
These settings allow you to automaticaly forward incoming FREE-FAXes, regular faxes, or regular email, to pre-defined destinations which may be a specific regular fax machine or another FREE-FAX Address. Very usefull when you are travelling, or if you have several corporate locations. A server contract with FREE-FAX Inc. is required to activate this feature.

SPECIAL SET UP CONSIDERATIONS IF YOU (WISH TO) USE MICROSOFT FAX

If you have not set up FREE-FAX Print do it first.
And, yes, MS Fax IS available on the Windows 98 CD-ROM in the folder \Tools\Oldwin95\Message
NB MS Fax will not work if you use MS Outlook Express as your default email Simple MAPI client program. To fix this use Tools | Options | Simple MAPI client


The basic rule is that MS FAX should be present in ONE & ONLY ONE MS Exchange profile, and in order to receive faxes automaticaly this profile MUST be open. To do this, open the Inbox on your desktop and select the 'Profile' containing MS FAX, or better, setup 'Windows Messaging' as an automatic start-up item with the MS FAX profile as default.

USING A MAPI/OUTLOOK/EXCHANGE PROFILE TO DOWNLOAD FREE-FAXes


By default FREE-FAX Print uses it's own routines to download FREE-FAXes from the FREE-FAX Address and save them in the Inbox.

The registered version of FREE-FAX Print allows you to use a FULL MAPI Profile to download FREE-FAXes to your Inbox.


The basic rule is that the information you enter to set up the FREE-FAX Scheduler MUST be identical to the equivalent information used to set up the MS Exchange FREE-FAX profile. This is because the information you enter in the Scheduler is also used to automaticaly set up your FREE-FAX Address on the FREEFAX.NET server and the information in the MS Exchange profile is used to retrieve FREE-FAXes from the server.

If you use the MAPI client to download FREE-FAXes the profile WILL function without being open on the desktop and WILL deliver FREE-FAXes to the common Inbox, where they are processed and printed automaticaly even though the FREE-FAX profile is not open. It is therefore preferable to set up the FREE-FAX address in an Inbox profile of it's own, and leave it closed.

IF YOU HAVE ALREADY SET UP MS FAX AND INTERNET MAIL IN THE SAME MS EXCHANGE PROFILE then you do not need to change anything, just ADD a new MS Exchange Internet Mail profile for FREE-FAX. Just remember, that when you set up the FREE-FAX profile as described below DO NOT SET UP MS FAX IN THE FREE-FAX PROFILE.

IF YOU HAVE ALREADY SET UP AN EXCHANGE PROFILE FOR INTERNET MAIL ONLY (and you wish to set up MS Fax for your incoming regular faxes) you should ADD MS FAX TO THE EXISTING MS EXCHANGE PROFILE CONTAINING YOUR REGULAR EMAIL ADDRESS. DO NOT SET UP MS FAX IN THE FREE-FAX PROFILE

IF YOU HAVE ALREADY SET UP AN EXCHANGE PROFILE FOR MS FAX AND YOU DO NOT PLAN TO USE MS EXCHANGE FOR INTERNET MAIL then you may add a a FREE-FAX Internet Mail Service to this profile BUT, as it will be always open, take care NOT to use it for regular mail.WE RECOMMEND YOU SET SET UP A SEPARATE PROFILE FOR FREE-FAX.

IF YOU REALLY WANT TO USE EXCHANGE TO DOWNLOAD FREE-FAXes THE BEST SET UP IN EVERY CASE IS TO CREATE A SEPARATE FOR YOUR FREE-FAX ADDRESS.

SETTING UP MS FAX
First read the considerations above.
If you have difficulties setting up these items on Windows 98 check out The simplest way to set up MS Fax for automatic printing of regular faxes is to NOT put MS FAX in the same profile that you use for FREE-FAXes. Keep in mind that the Inbox Profile containing MS Fax MUST be open on your desktop for it to receive and print faxes automaticaly and you MUST set the modem to 'Answer after 3 rings'. (Choose at least 3 rings for best results.)
If the open profile on your desktop is FREE-FAX take care not to send any regular email messages from this profile, replies may be printed automaticaly like FREE-FAXes!!!
1.0 Open the Control Panel 'Start | Setting | Control Panel'
2.0 Click the icon 'Mail', or 'Mail & Fax'. (NOT the icon 'Microsoft Mail'). If you do not have an icon named 'Mail' or Mail & Fax you must use your WIndows 95/98 set up disks or CD-ROM to install 'Windows Messaging'.
3.0 Click the tab 'Services' and the button 'Show Profiles'
If you are creating a new profile
3.1 Choose 'Add', 3.2 Check 'Microsoft Fax'
3.1 Give a name to your new profile, followed by 'Next'
3.3 Select a modem for Microsoft Fax and click 'Next'
3.4 Select automatic reply if you plan to use FREE-FAX Print to automaticaly print regular faxes, followed by 'Next'
3.5 Enter your fax number, followed by 'Next' ..continue until 'Finish'

SETTING UP MAPI/OUTLOOK/EXCHANGE DOWNLOAD

To do this you must manualy edit the file c:\windows\win.ini
Find the section labeled and add a line 'Use_Profile=y', it should look like this -

During the set up process you will be asked to choose or create an Inbox 'profile'.
You can also do it separately see:
- set up a Microsoft Exchange Windows Messaging Inbox Profile.
This profile should be used exclusively to retrieve FREE-FAXes from the FREEFAX.NET server and it's 'Internet Mail' service MUST be set up with the using your FREE-FAX Address information. You should set it up IN ADDITION to any other profiles you use. When started by the FREE-FAX Print Utility it will deliver FREE-FAXes to the common Inbox on your desktop, which may also be used for regular email and faxes. DO NOT USE YOUR FREE-FAX PROFILE FOR ANYTHING ELSE. If you use, or wish to use Microsoft Exchange, Windows Messaging or Outlook for your regular email, or Microsoft Fax for sending and receiving regular faxes then PLEASE READ THE SPECIAL SECTION section
concerning MS FAX.

TO SET UP A NEW MS EXCHANGE INBOX PROFILE FOR FREE-FAX

Proceed as follows :
1.0 Check if you have an icon on your desktop called 'Inbox' If you not you must use your WIndows 95/98 set up disks or CD-ROM to install 'Windows Messaging'. 2.0 Click 'Start | Setting | Control Panel' and click the icon 'Mail', (NOT the icon 'Microsoft Mail'). If you do not have an icon named 'Mail' you must use your Windows 95 CD-ROM to install the MS application 'Internet Mail'
3.0 Click the tab 'Services' and the buttons 'Show Profiles' & 'Add'.
3.1 Check Internet Mail ONLY, followed by 'Next'. (even if you haven't already set up MS Fax it's better to do it later in a separate profile)
3.2 Give the name 'FREE-FAX' to your new profile, followed by 'Next'
4.0 Now set up 'Internet Mail'.
4.1 Choose modem or network as a means of connecting to the Internet, followed by 'Next'
4.2 If you choose 'Modem' choose a connection name, followed by 'Next'
4.3 Choose 'Specify Name' and enter 'fax1.freefax.net', followed by 'Next'
4.4 You MUST choose 'Off-Line', followed by 'Next'
4.5 In ' EMail Address' you MUST enter your
FREE-FAX Address, ie your global fax number composed of country code, area code and number <global fax number>@freefax.net.
For example our regular fax number -
country code is 1,
area code is 212,
number is 4144146.
Our FREE-FAX Address is 12124144146@freefax.net .
4.6 'Full Name' enter what you like, for example, the geographic location of your FREEFAX device, followed by 'Next'
4.7 Enter 'Mailbox Name' as your global fax number(see above 5.5)
eg 12124144146
4.8 Enter a Password, followed by 'Next' NB This PASSWORD MUST be same password you use when you set up the FREE-FAX Scheduler.

5.0 Just keep clicking 'Next' until it becomes 'Finish'... and click that also.
