SALESEYE TUTORIAL - USING TICKLERS - PAGE 1-# LESSON 1 - MANAGING YOUR APPOINTMENT CALENDAR In this lesson you will learn about SALESEYE's MAIN MENU. You will also learn how to use SALESEYE to keep track of your daily schedule of appointments. These are SALESEYE's simplest features. Once you have mastered them, we will introduce you to the program's more powerful capabilities. EXERCISE 1 - THE MAIN MENU Start up the SALESEYE program. If you haven't already followed the instructions in the 'WHAT SHOULD I DO FIRST?' section, please do so before starting these excersises. To start the program after it has been installed: When using floppy disk systems... 1. Boot your computer (make sure the CONFIG.SYS file is on your system disk) 2. Put the SALESEYE Program Disk in Drive A: and your data disk in Drive B: 3. Type... SELL [ means press the 'RETURN', 'Enter' or '<--' key. ] When using a hard disk... 1. Boot your computer (make sure the CONFIG.SYS file is on your hard disk) 2. Change to the sub-directory that you stored the SALESEYE program on using your operating system's CD (change directory) command. 3. Type... SELL [ means press the 'RETURN', 'Enter' or '<--' key. ] The SALESEYE logo will then appear followed by... Ordinarily you would substitute today's date for it. For the purposes of this exercise, however, please enter January 5th, 1986 if it has not been entered already. To learn how, just follow the 'Month/Day/Year' script... You type... 010586 recommend that you type all single-digit dates in SALESEYE with a leading zero, for example, 01/05/86. As you type, the numbers will automatically position themselves between the slashes on the screen. At this point you should see SALESEYE's MAIN MENU. If you are following along (as you should be!), your computer's screen should look like... Screen... However, instead of listing meals, SALESEYE menus list different features that you can pick and choose from. The MAIN MENU shown above gives you a description of all the things you can do with SALESEYE. To use any option listed in this menu, just type the option number that appears to the left of it. For example, if you wanted to 'ADD NEW LEADS', you would type the number '1'. The MAIN MENU will be your starting point for accessing all of SALESEYE's powerful features. Which to choose? Continue reading, and you will learn how to use all of these features. EXERCISE 2 - WHAT ARE TICKLERS? Managing your time is important. Telephone calls, meetings, reports, etc. must be made on time. You can use SALESEYE's tickler feature to remind you of what needs doing and when it should be done. reminder, usually a timely reminder, sent to a member of the selling staff, including yourself. In the past, you probably wrote on a calendar or scribbled a message on a memo pad. You will now learn how to send and receive important, timely messages using SALESEYE. To get a quick demonstration of how SALESEYE can display an appointment calendar, just follow the directions... Of the eight options on the MAIN MENU, choose number 3 (MAINTAIN TICKLERS)... Notice that it is different than the menus you have seen up until now. Instead of listing features, this screen allows you to enter information. You can think of it as being like a form that needs to be filled out. The colons (:) mark off spaces where information is to be typed. Next to each pair of colons is a label that describes what you are to enter between them. . You can also use the arrow keys and backspace key to move the cursor anywhere on the screen. If your keyboard does not have arrow keys, use the following commands to move the cursor around the form: YOU PRESS... AND CURSOR MOVES... 'CONTROL' X DOWN 'CONTROL' E UP 'CONTROL' S LEFT 'CONTROL' D RIGHT [ Note: You should hold the 'CONTROL' key down and hit the appropriate letter key simultaneously, in the same way as you use the shift key. See Appendix B of the Reference Manaual if your arrow keys do not work. ] You should now move the cursor so that it rests on the same line as 'FROM (MM/DD/YY)'. Then fill in the dates as shown... You type... FROM (MM/DD/YY) :01/01/90: TO (MM/DD/YY) :01/08/90: [ NOTE: If you make a mistake, simply type over it. ] Now, move the cursor to the lower right of the screen to the line that says... Screen... C)ancel E)dit D)one :?: The cursor should be resting between the colons, on top of '?'. This line is a bit like the other menus you have already used except that the list of options is horizontal instead of vertical. When selecting an option from a horizontal menu, you only need to type the first letter of the desired option. This menu is telling you that you now have three options: 1. You could Cancel (ie choose not to display ticklers) 2. You could move the cursor back up to the first input field by entering 'E' 3. You could display tickler messages for the range of dates you just entered by typing 'D' to signal that you are done filling out the screen and want to proceed. Since you want to display ticklers... Enter... D [ for Done ] Screen... [ displays three ticklers we've entered for you to see ] Notice that SALESEYE has displayed the tickler messages in date and time order. Now you will learn how to send your own tickler messages. To do this, you must first return to the MAINTAIN TICKLER FILES MENU. Assuming that the three ticklers are still displayed on your screen from the last exercise... Enter... First, take a look at what the screen should look like after it is filled in. The information you will enter is underlined. Screen... If you want to leave a piece of information blank, press return or the down arrow key and the cursor will move to the next set of colons. If you make a mistake, use the backspace key or the up arrow key to back up and correct the error. You should now fill in the screen just as you see it on the previous page. When you are done, the cursor should be resting between the colons at the lower right hand corner of the screen. Here, you are given a choice of options in a horizontal menu... Screen... C)ancel E)dit D)one M)ain menu K)eep adding ticklers :?: Since you are going to be adding several ticklers during this exercise, type K for Keep adding ticklers. The SEE TICKLERS option (which you have already used) will display ticklers in date and time order, very much like an itinerary or a calendar. Note that the date that you entered as 'Today's Date' when you started up SALESEYE appears in the space for the upper limit for the range of dates (ie 'TO (MM/DD/YY) :01/05/86:'). Usually you want to see tickler messages due each day, or for a range of dates. Suppose that you are going to be out of town from February 8 - 16, 1986 and you want to review all tickler messages for that period. To do this, fill out the SEE TICKLER MESSAGES screen as follows... You type... SALESEYE's tickler files can be changed, too. Here's how... Screen... Here are some examples: 1. If you do not specify any selection criteria, SALESEYE will let you edit or purge every tickler, one at a time. 2. If you specify a person's initials for 'SENT BY', you will be able to edit/purge only the ticklers sent by that person. 3. If you specify initials for 'SENT TO' and a range of dates for 'DATE DUE', SALESEYE will retrieve only those ticklers sent to the specified person that have due dates falling in the specified range. You may use any, all, or none of these selection criteria to let SALESEYE retrieve only those ticklers that you want to see. Let's get back to business. For now, assume that you want to make corrections to all of the ticklers sent by RLW... You type... SENT BY :RLW: Move cursor... to the menu line at lower right screen Enter... Screen... ** MAINTAIN TICKLER FILES ** OPTION DESCRIPTION 1 ADD TICKLERS 2 EDIT/PURGE TICKLERS 3 BLIND PURGE 4 SEE TICKLERS 5 RETURN TO MAIN MENU Which Option (1-5)? :5: You may have noticed that the 'Quarterly taxes due today.' tickler did not appear. This is because you specified 'SENT BY :RLW:' as the selection criteria. This tickler was sent by WHC and so SALESEYE skipped it. In the previous exercises you used the edit/purge option to have SALESEYE find ticklers that satisfied your selection criteria. Each tickler that satisfied the search criteria was displayed on the screen one at a time. After looking at the tickler, you then decided if you wanted to edit or purge it. As you use SALESEYE more and more, you will probably send many tickler messages. Since this information uses up valuable space on your disks, you will want to periodically purge old messages from the files. You could do this with the edit/purge option, but there is a faster way. Screen... [ MAINTAIN TICKLER FILES MENU ] Enter... 3 [ for BLIND PURGE ] Screen... ** BLIND PURGE OF TICKLERS ** This option allows you to quickly purge tickler memos. Once a tickler is purged, it cannot be retrieved. However, you will not be able to review each tickler before it is purged. Use the Edit/Purge option if you want to see each tickler before deciding to purge them. Do you still want to blind-purge ticklers (Y/N)? :?: Enter...
