1.Introduction

Welcome to Money97. This product was first decided to became a "quick and dirty" summation tool for my parents, who asked me to write this software. Once started I thought I could make it a bit better and perhaps useable for others too - and here is the result. Money97 is a small MUI application, which lets you keep track on your money. It allows to define costs with date, title, section and even allows defining of repeating costs in many different ways - this way you see what's going out and in any month without having to think about assurances, rents and so on.

I hope you like this software and support its further development by registering it. I have spent some months of development, wanting to make it as best as possible and think in the end it's worth its price...

PS^2: Actually Chris is programming a kind of scheduling program. Future versions of Money97 will support a special function: You can transfer the date of a cost entry to the scheduler directly with just one mouse click and the scheduler will warn you when this date is reached. Of course there will be a special offer for registered Money97 users! ,*)


2.Requirements

Money97 is not that demanding. It requires Kickstart version 3.0 (v39.xx) or above and MUI 3.x. It should run with 200kb of memory (not tested). In addition MUI itself consumes some hundred kb of RAM, no matter how many MUI applications you start.

You need locale.library for locale support and an apropriate catalog file for your language. Currently German and English (built-in) are supported.

If you would like to change the toolbar icons and wish to use a non IFF format, you'll need the correct datatypes installed in your system.

Note: If there's anyone who has translated a catalog file to another language, I would be happy to get and include it in the distribution.


3.Installation

The most simple way to install Money97 is to use the supplied script for the Installer. Installer is not included in the archive and should be somewhere in your command path, e.g. in the C: directory. The script is both English and German and can also be used to update or remove Money97.

You can also copy all files of this distribution into a directory of your harddrive by hand and the program will work, but since you surely will not need all included files, please take a look at the following notes to find out, which files you want to keep and where to copy them.

Installation notes:

  1. Money97 is localized. You can install other languages than English (built-in) by copying the "catalogs" drawer to the Money97 directory. At the moment only a German catalog is included.

  2. The drawer "images" includes a set of 16 color buttons which will be used for the toolbar of the program. The Money97 archive also includes lha's with a set of 8 color buttons and two sets for MagicWB by Bastian Kinne which you can copy to "images/" alternatively. Note, that you can create your own button sets too.

  3. Several documentations are included in this archive and you can copy one or all of them to a drawer called "Docs" in your "Money97/" directory. Choose a language first (English and German at the moment) and then the type of documents you wish to keep. At the moment the following formats are available:
    a.ASC Plain ASCII Text.
    b.Guide AmigaGuide document - please note, that this one is needed if you want to use the online help!
    c.DVI LaTeX document which can be used for a nice printout of the manual.
    d.HTML Hypertext format for WWW-Browsers. You can always read the newest version at http://home.pages.de/~CON-fusio/ and download the actual version of the program here.
    e.GIF Some screenshots are included which can be displayed from the Guide and HTML documentations. Please note that Money97 may look very different at your system according to your personal MUI configuration.

    Important note: If you wish to use the built-in online help functions make sure, that either the English or the German version of Money97.guide is placed in the drawer "Docs/" in the Money97 directory, do not leave it in Docs/English or Docs/German! You also have to copy the GIF images and the "RegForm" document in your preferred language to "Docs/" if you wish to use them with the Guide or HTML documentation.

  4. An example project named Test.hcp is included and can be installed optionally in the Money97 drawer.

  5. The installation script can be copied too, e.g. if you want an easy tool to update or delete your installation of Money97.

  6. If you are installing a registered version of Money97, the supplied keyfile can be installed either to the program's directory or S:

  7. Currently included are 16col program icons and MagicWB icons by Bastian Kinne. Install the ones you prefer.

4.How to use Money97

Please select the kind of documentation which fits your needs:


4.1 Quickstart

  1. Start Money97 by double clicking it's icon.

  2. The main functions (e.g. new, load, save and prefs) can be reached by the toolbar in top of the main window.

  3. You can switch the display of the list between years and months by klicking at the register buttons.

  4. When years are displayed, you can add or remove years at the lower right.

  5. Open the fix costs window and fill in all kind of costs which appear reguarly. Select a title for each entry, a section and the scheme of appearance (e.g. "every month every year"). If you like to enter your income too, use a leading "-" for your costs or your income. Negative values are shown in the list in white color without a leading "-".

  6. If you like to add more groups or to increase the number of titles the program remembers, open the preferences window.

  7. Switch to the display of the months and edit your costs and incomes for each of them.

  8. This way you will get monthly and yearly overviews of the money you own.

  9. At the end, save your actual project. Please note: If you not registered Money97, you can't save any projects or prefs.

  10. If you are not sure how to get things work, make use of the online help functions. All buttons use bubble help (place mouse over a button) or press the HELP key for the documentation of the selected window (a Money97.guide has to be in Money97/Docs/ for this).

4.2 Tutorial Project

This tutorial is just a quick way to make you familiar to the most important functions of Money97. It's kinda short, but I hope it's sufficient. I will now start to create a simple project for two or more years in a step by step manner.

Let's assume the project should start in the year 1997 and hold the following periodical costs:

assurance for the car 504.- two times a year in january and july.
assurance for the appartment 208.50 one time a year in october.
rent for the appartment 450.- every month and every year.

Further let's assume we have some costs that occur only once. Let's say, during the first months of 1997 I buy some PC parts:

Board 290.- january, 2nd
GFX Card 290.- february, 25th
... ... ...

Feel free to replace these examples with your own ones, but please select similar occurences since this will show you how to realize the different types of entries.

  1. Ok, now how do we get this working? First we start the program by double clicking at it's icon. We said that we wanted to create two or more years. So we first add a new year by clicking at the "Add" button at the lower right of the register page labeled "Years". All buttons at this page refer to a year (in fact the selected year).

  2. First we will enter the repeating costs. These costs are refered to as "fix costs" in this documentation and the program. As you will see the fix costs editor provides some very simple methods to enter repeating costs. Instead of using the month editor each time, you can generate great numbers of entries with only one single fixcost entry.

    Since we want to start these costs in 1997 we have to make a double click at the year entry for 1997 in the list to make it active again. To enter the fixed costs we hit the button labeled "fixed costs" and the fix cost editor should open. The first line of this window indicates the first year the fixcosts you can define now will start. This might be a bit confusing, since all fixcosts are displayed in the list, even those which are defined to start in other years. You can easily get information about the start year of a fixcost entry by looking at the "start" column of the list.

    By the way, you can get information about most of the objects of this program by moving the mouse over it and wait until a help bubble opens, describing the object's function.

  3. Lets enter the first fix cost, assurance for the car, 504.-, two times a year. To do this click at the string gadget labeled with "Title", enter "Assur. for car" and hit return. At the "Section" field to the right you can now assign the actual entry to a group. By clicking at the pop up button near this string gadget you see the three groups "Private", "Business" and "Others". These groups can not be edited, but as shown later on you can easily add more groups. You will always get a splitted sum for these three groups in all lists, your own groups are always added to the "Others" section. Perhaps you are using your car for "Business" or "Private", so you can choose the right option for you now.

    Let's now consider the assurance we are just entering is for the car of your daughter Elli, so you might want to choose a different section "Elli". You will discover that this section is not included in the pop up list yet. Please enter "Elli" by hand now and I will show later on, how to put "Elli" into the pop up list. The cost occurs two times, but every year so we choose the correct value for the cycle gadget in the period group "2 times EVERY year".

    After you finished this, you'll see that the second half of the months entries in the cost group is disabled. This is not a bug but a feature: We pay our assurance in january and july, so we simply enter the costs in january, Money97 will automatically assume the same price to occur 6 months later and inserts it for july too. After this click at the "Add" button. Don't feel confused, the cost for july is not shown in the string gadget for july, take a look at the list view instead. Now we have defined our first fixcost.

    You now can easily check in the list view all values you entered. You see the title of your entry, the cost, the section and when these costs start and end. In addition you see a table of all months after this. If a cost defined by your fix cost entry occurs in one of these months, it is marked with a "x", else with a "-".

    If you entered something wrong, double click at this entry, change your settings and click at "Update" when finished. You can also select "Add" to add the modified entry and this way keep the old entry too. You can use this as a simple cut & paste if you have to enter similar costs several times.

  4. Second fix cost of our example (assurance for appartment, one time a year in october) is done the same way, except for the selection at the period cycle gadget. Enter the title and section for the "appartment assurance" the same way as above and select "EVERY year" at the cycle gadget, since this cost appears every year. You will see all month fields enabled. We supposed this cost will occur in october, so we enter 208.50 into the october field and hit the "Add" button - done.

    Note: You may have costs that occur every year, but with different prices in different months. You can define them using the same position for the cycle gadget and enter the different values into the months fields. "Add" will then automatically create the according fix costs entries for each of them. If you do this, don't worry about the unusual display in the list view. This is because several different costs can't be displayed in a single line of the list without adding a confusing layout to the window. The title will be of a different colour to indicate this and the costs column will be empty. You can check your monthly settings with the month editor as shown below.

  5. We now want to add the rent for out appartment. Click at the string gadget labeled "Title" and enter "rent", then select "Private" or whatever you like for the "Section" field. Rent has to be paid every month and every year, so we select "EVERY month EVERY year" at the cycle gadget. Only the field for january will be enabled, Money97 expects the entered cost to occur also every following month. We therefore enter 450 and press the "Add" button.

    Let's assume you moved to this appartment in may and you do not have to pay any rent for the first four months of the year 1997. In this case you should enter the values above starting with 1998 and enter a second entry for 1997 only. Choose title and section, then select "EVERY month THIS year starting with..." at the period cycle gadget. You will see, that the cycle gadget to the right will be enabled. Select "may" here and the field for "may" will be activated. Enter your rent here and Money97 will generate an entry for your rent which starts in may of 1997.

And now we are done with the repeating costs of our simple example. It might be a bit confusing in the beginning, but will soon be familiar to you and remember that flexibility is often paid with less comfort (have a look at unix :). We are done here, so click "OK" to close the fix costs window.

Now have a look at the status bar at the bottom of the main window and you'll see, that Money97 has created 22 single cost entries out of our 4 fix cost entries, so was it worth the complicated definition? Further more if you add a new year all fix costs you already defined will automatically be active for this new year too. You may try this by clicking at the "Add" button at the "Years" register page. If you do so, please double click at 1997 in the list again, since we are not yet finished with this year in our example.

But at first: I promised I would explain how to get "Elli" into the list of sections. Let's do this. Press the right mouse button for the menu and select Edit/Preferences or hit the button with the cash in the tool bar. This will open the preferences editor. You can ignore the first register page with the general preferences at the moment, select the second register page labeled with "Sections". A list view and some buttons should appear. Editing the list is quite easy and there's not much to say about. Hit "Add" and the entry gadget becomes enabled. Enter "Elli" and hit return. The section called "Elli" is added to the list and now becomes available in all section pop up lists of the program. Since we are finished here, hit the "OK" button to close the preferences editor.

In our example some costs for the computer parts are left, so lets add them too. First make sure that the year 1997 is selected and then select the "Months" register page. You can check the selected year by having a look at the field at the upper right of the months page.

  1. Let's assume the board for our computer is bought at january 2nd, so we select the january in the list and either hit "Edit" or double click at the month entry. The month editor window will open. In the list you already see some bold faced entries which can easily be recognized as fix cost entries because no date is supplied (and because they're bold!). By the way, you can not edit these fixcosts here, you will have to use the fix cost editor again for this. Now select the date field and enter "2". You don't have to insert the whole date since month and year are defined by the selected month and year at the main window. You can see what month is selected by looking at the line above the list.

  2. The "Title" gadget becomes active and we enter "Board" here. By default Money97 remembers the 20 last titles it didn't know so far. You can increase or lower this number at the first register page of the preferences editor. As "Section" entry we might enter "Private" or try to use the new defined section "Elli" from the list. To do so click at the pop up button near the string gadget and a list with sections should pop up, containing the section "Elli" we recently defined. You select a section from the list by double clicking at it. White sections are default sections, which can't be modified nor deleted, black sections are user defined.

  3. Finally we add 290.00 at the costs entry field and hit the "Add" button. Done - the cost entry should appear in the list now.

  4. Adding the cost entry for the GFX board is quite easy, now you know how it works. Leave the month editor, since the selected month is january 1997, by hitting the "OK" knob. Double click at the february entry in the list and the month editor for february will open, displaying one fixcost entry. Enter "25" at the date field, "GFX-Board" at the title field and select "Elli" for the section (if it's to be Elli's computer) and insert a 290.00 into the cost field. "Add" creates the new cost entry. Hitting "OK" closes the month editor and you can have a look at the overview of costs in the main window. Play around a bit with the help bubbles to learn about the display.

You might save this project by hitting the button with the disk logo on it or selecting "File/Save" from the menu. A file requester will prompt you for a destination and a filename, then the project will be saved and named accordingly. Please note: if you haven't registered Money97 yet, you can not save your actual project and you can neither load or save any prefs!

You might think that's all fine, but:

  1. What's about fixcost that end some time?

    To finish a fix cost in a specified year, say 1998 (which doesn't makes much sense in our example, but shows how it works), select the "Year" register page at the main window and double click at 1998, then select any month (in which this cost occurs) at the "Months" register page and edit it. In our example let's say we finished the assurance for the appartment in 1998. Because of this we select october in 1998. The month editor now displays the fix costs for rent and assurance. Double click at the assurance entry. A warning requester will pop up, telling you you can't modify fixcosts with the month editor window (and that's TRUE), but you can finish them by hitting the "Remove" button and accepting the following request! Done! The assurance for the appartment will not be inserted in any year after 1997!

  2. What about my income, can I calculate with it, too?

    Since you earn your money regularly, you should define it through fix costs, but you can also use the month editor and insert it by hand into any month. Which way you do it is yours, just do it the same way as described above and simply enter your values with a leading "-", either for all your costs or your income. You will see entries of negative values in the cost column of the list view in white color, without leading minus.

  3. What about changing or removing cost entries?

    Just chose the apropriate editor, either "fix costs" or "month" window, and select the cost entry by double clicking at the list entry. All values are set into the fields and may be changed. To replace the old values with the new ones click at the "Update" button.

    Note, that you have to be a bit careful when updating fix cost entries. The fix cost editor will set the start of a fix cost according to the year you chose at the main window. Let's say for example we select 1998 in our example, then open the fixcost editor and want to change the title of the rent for the appartment. So double clicking at the rent entry gives the data to the buttons. Now we change the title and click "Update", and everything is fine, eh? No it isn't, since we changed the starting year from 1997 to 1998 without wanting it. Since I thought there's great potential of making things one doesn't want to, I inserted a warning requester... To change something without changing the starting year, you simply have to select the correct year before opening the fix cost editor.

Play around a bit, use the help bubbles and the HELP key, which shows you the part of the usage section which belongs to the active window (a Money97.guide has to be placed in "Money97/docs/" for this).


4.3 Usage Section

This section describes all functions of Money97. It is really recommended that you read this section and check things out on the fly - this way you'll understand the inner workings of Money97 more easily. Operating Money97 may seem to be a bit complicated in the beginning, but I needed to make it this way to offer biggest flexibility.

Please have a look at the Tutorial first to get a feeling for Money97 and then come back to get the details. I won't describe how to do this or that, but more in a "what-does-this-knob-do" manner.

You can read the whole usage section or click below to get information about a specific window (A to D), a special group of this window (numbered) or the pull down menus (E). You can also start Money97 and reach the topics A to D by pressing your <Help> key while the mentioned window is active (you need Money97.guide in "docs/" for this).

The main Money97 window is the center of operation. At the upper region of the window you find a toolbar which lets you call the main functions of the program faster than using the menu. Nevertheless all toolbar functions are also accessible through the pull down menus.

The bottom part of the window ist covered by a status bar which displays the name of the project (i.e. the filename), the number of cost entries (month entries plus all entries generated by the fixcost editor) and the sum over all years.

The biggest part of the window is covered by the Years/Months register. Have a look at the description of the Years- and Months-pages for further details.


A.1 Years Register Page - (Part of main window)

This part of the main page displays the data for all years you defined. Any year in the current project is displayed as a single entry in the list, together with a sum over all costs this year and a sum over all fixed costs of this year. The column "Status" is not yet in use.

The "Add" button will add a new year to the list by incrementing the last year by one. You can change the value for the starting year at the preferences window. All fix costs previously defined will automatically be applied to the new year.

The "Remove" button removes the marked year from the list.

The "Fix costs" button will open the fix cost window which lets you add, remove and modify existing fix costs which start in the currently selected year.


A.2 Months Register Page - (Part of main window)

The register page labeled "Months" displays the months of the year selected at the Years-page. The list contains all months with some data about the costs that occur in them.

The columns have the following meaning:

The text field at the upper right corner of the page displays the year which has been selected at the "Years" register.

The "Edit" button opens the month editor window which lets you add, remove and edit cost entries for the selected month in the list. You may also open the editor by double clicking at the desired entry.

The "Sum" field at the right bottom displays the sum over all costs, this year.


A.3 The Toolbar

The toolbar let's you access the different parts of Money97 more easily. The buttons have the following functions (from left to right):

(1) Of course Money97 will warn you if you select this without saving your actual project first.

(2) You can only save projects and load or save the prefs if you already registered Money97.

(3) These functions will be included in future versions.

Like most buttons in Money97 the toolbar buttons use bubble help, so you can always see what they will do by placing your mouse pointer over them and wait until the bubble is displayed.

If you don't like the images of the toolbar you can create your own images. Just take a standard drawing application for the Amiga to do so. The images should be of same size, but need not. You need a new, open, save, print, preferences and a barchart button. These images must then be placed into the drawer "Money97/images/" and named "def_xxxx" as the already installed ones. Please have a look at the filenames. Currently button sets for MagicWB and with 8 and 16 colors are included in the Money97 distribution.

B.The Fixcost Definer

This editor manages costs that occur in a repeating manner, such as rents, incomes, assurances etc. These costs will be called "fix costs" in both program and documentation. The upper part of the window is covered by a list of the so far defined fix costs. Fix costs always start in the year which is displayed at the info-line at the top of the window.

All fix costs are displayed in a listview. At the lower part of the window you will find the four groups description, period, months and action knobs.


B.1 The Information Line

The line at the top of the fix costs window tells you what year you refer to, when you define new fix costs. All fix cost entries you add or update will start with this year so make sure, that you selected the correct year at the years register. To avoid unwanted modification of the start year after changing some other data a safety requester will ask for permission to change the start year before doing so.


B.2 The Fixcost Listview

The columns of the listview display "Title", "Costs" and "Section" of a fix cost entry and also the years this fix cost starts and ends. The year a fix cost ends can be defined using the month editor window by deleting this fix cost. The starting year is set automatically by the selections at the Year register.

Due to the single lined layout of the list view the cost column can only be displayed if all entered costs have the same value, otherwise this entry will be marked in a different color without showing the costs. The single monthly entries this editor creates can easily be checked at the month editor window.

In addition the list view contains a small table of all months. All months in which a cost defined by your fix cost entry occurs are marked with a "x", all others with a "-".


B.3 The Description Group

This group contains two gadgets, one for the title of a fix cost entry and one for a section this fix cost belongs to. Near the string gadgets you find a button which gives you a pop up list, from which you may choose an entry by double clicking at it. The list connected to the "Title" entry gadget contains the titles you have already used so far. You can change the number of titles Money97 remembers at the preferences window.

The list connected to the "Section" entry gadget contains a list of sections the user may define and the three default sections "Private", "Business" and "Others" which can not be removed or renamed (yet). You can add more sections at the preferences window. User defined sections will always be added to the sum in the "Others" column of all list views.


B.4 The Period Group

This group contains two cycle gadgets which together define the period of the new or marked fix cost. The left gadget defines a period, the right defines a start month. The right gadget is only needed for the last two of the "Period" entries you may choose from the left cycle gadget which need to define a starting month. It will be disabled for the other selections.

This may be best understood with an example:

will result in a fix cost which will appear every year during the months
July, August, September, October, November, December.

B.5 The Months Group

This group contains the fields for the costs of the months which belong to the actual fix cost. You have to enter the cost value of the fix cost into one or more of these fields, this depends on the entry you chose from the period cycle. Some fields may also be disabled, according to the selected entry from this cycle.

If you define a fixcost which occurs 2 or 4 times a year, Money97 will only allow to enter a value into the first 6 or 3 gadgets and assumes the costs to appear at equal time intervals. For an example, have a look at the Tutorial, "assurance entry" for the car.


B.6 The Action Knobs Group

The buttons at the bottom of the fix cost editor will do the following:


C.The Cost Editor For A Specified Month

This editor is used for costs that occur unregularly or just once, e.g. your last holiday, the Ferrari you bought yesterday, etc.

Same as all other editors of this program this one also consists of a list view at the left side of the window. Below this list you see a group consisting of one button with a summation symbol and two fields for sums. At the right side of the window you see a group containing entry fields which will enable you to enter or modify the data of a cost entry. The buttons below are needed to clear, add, update or remove your entry.


C.1 The List Of Costs For A Month

This list contains all costs that occur this month. Bold typed cost entries without a date are fix cost entries. You may not edit fix costs from within the month editor, but you can "delete" them. Deleting a fixcost will result in stopping this fixcost the year before the selected one.

Consider for example a fix cost which has started in year 1995 and repeats every year. Lets suppose we have opened the month editor for the April 1998. If we now delete the fix cost entry the above fix cost will be valid only from 1995 till 1997. Starting with year 1998 this cost will no longer be applied to following years. Cost values displayed in white are negative values. The leading minus sign has been removed for a better outfit. You may enter negative values for your income or your costs. This way you can easily see how much money is left for a specific month.


C.2 The Summation Group

This group contains fields that display the total sum and the sum of fix costs for this month. Entering new costs in this month will NOT automatically update these fields, but you can do this by hitting the knob with the summation symbol on it. These fields will always be updated whenever the editor window is opened.


C.3 The Entry Fields For A Cost

The field labled with "Title" will contain the title of the new or edited cost. The field labeled "Section" will show a section which describes the kind of cost a bit more than only the title. The field labeled "Date" defines the date the cost appears. Since year and month are already selected at the register pages of the main window, you only need to specify the day the cost occurs.

The preferences window allows the user to adjust the programs behaviour and set some default values. The window only contains a single register group with two pages. The first page contains general data, the second page contains a list with sections and some buttons to add, remove and edit new or existing sections.

Please note, that Money97 refuses to load or save any prefs files if you are using an unregistered version of the program. Click here to register.


D.1 The First Register Page - General Prefs

This register page contains some subgroups with general preferences for Money97. The upper group "Title memory" defines the behaviour of the program when the user enters unknown titles for cost entries. The maximum number of titles the program remembers and shows you in all pop up lists can be changed using the slider. If more titles than defined are entered, the oldest titles will always be removed. The names of all titles used in a project will be saved with the project file.

The "Add is default" checkbox defines the way the program handles new unknown titles. If it is checked, any new unknown title will be added to the list. If it is not, a requester will ask if it should be added to the list or not. Phrase completition is not yet implemented.

The second group "Currency" contains an entry for the currency label and a cycle gadget which defines whether the lable should appear left or right of the number.

The group at the bottom "Number Format" contains an entry for a C-style number format string. Some examples are given in the pop up list, but the use of "%3.2f" is recommended. This will give you all values with two numbers after the point.

At the bottom of this register you can enter the year you wish to start your projects with by default. Remembering that the "Add" button at the main window will always add a new year by increasing this value by one this enables you to create projects including years before 1997.


D.2 The Second Register Page - Section List Prefs

This page defines the section list. Three sections (white) are default sections, which can neither be deleted nor edited. You may easily add, remove or edit own additional sections which will be shown in black. This list of sections will always been shown if you click at the pop up button near a "Section" string gadget. All user defined sections will always added to the costs of the "Others" section in the monthly and yearly list views.

You got this version for demonstration purposes only and have to register if you intend to use it regularly. I have decided to keep the demoversion as functionally as possible, so you really know what you get! This demoversion is fully functional except I/O functions, i.e. you might neither load prefs, nor save anything. Loading is possible to enable you to use the example file....

To use Money97 without restrictions, you have to register.

6.Registering Money97

To use Money97 without restrictions, you need to register. The unregistered version of Money97 will not save any project files nor load and save prefs files. Crippled software is a bad thing, but using shareware without paying for it is even worse.

Please send me a small amount of money for my work and time and I'll in reply send you the newest version of Money97 plus a valid keyfile which enables all the currently disabled functions. This keyfile stays valid for future versions which are minor updates or bugfixes.

To register fill out the Registration Form and send it to me. I will not accept registrations via EMail!
