You may want to deinstall the WORD icon from the system screen, or to assign the WORD button to F11. F11 uses internally the WORD processor to access to files, so a 100% compatibility to WORD-files is guaranteed. 1.3 How to use F11 for DATA --------------------------- To edit a data file under F11, select a file under the F11data icon or press PSION-N. You may want to deinstall the DATA icon from the system screen, or to assign the DATA button to F11. F11 uses internally the DATA application to access to files, so a 100% compatibility to DATA-files is guaranteed. 2 Concepts ---------- 2.1 Key Shortcuts ----------------- To access all WORD or DATA functions press the MENU key as usual. To access the F11 specific functions press Shift-MENU or PSION-TAB followed by MENU. To access the WORD or DATA help screens press the HELP key as usual. To access F11-help press Shift-HELP or PSION-TAB followed by HELP. To disable or enable F11 during a session press Shift-ESC. CAPS disables the typing aids temporarily. ESC inhibits the modification of the following key press. PSION-ESC undos the last modification. F11-hotkeys ----------- Press PSION-TAB to make text insertions: -- PSION-TAB followed by "+" inserts a spreadsheet file into a WORD document. -- PSION-TAB followed by "/" inserts the current date -- PSION-TAB followed by "*" inserts a character from the pop-up character table -- PSION-TAB followed by one numeric digit (0...9) inserts the phrase with that number. The phrase is retrieved from the current phrase book and is inserted in the style of the current paragraph. Note: Optionally use Space,Space,Digit for the same function. -- PSION-TAB followed by any other keyword inserts a phrase with that keyword. The maximum keyword length can be set via PREFERENCES (3 or 8). Shorter keywords must be closed by ENTER. The phrase is retrieved from the current phrase book. Note: These keywords must start with a letter. Optionally use Space,Space,Keyword for the same function. -- PSION-TAB followed by TAB shows a list of all phrases contained in the current phrase book. You can select a phrase from this list. -- PSION-DEL deletes an inserted phrase. This function is only available directly after the insertion of a phrase. -- PSION-TAB followed by ENTER starts the FIND-FILE-FUNCTION. The _ Bring-key _ ----------------- The normal way of bringing selected text from another document or application into WORD or DATA is to invoke the other application, highlight the text, switch back to the original document, then invoke the Bring function in WORD or DATA. With F11 this task has been made simpler: Invoke the other application, highlight the text wanted, press PSION-Shift-TAB and F11 will do the rest. 2.2 The _ Phrasebook _ ---------------------- A phrase book contains several independent phrases ready for insertion into your document. The predefined phrase book contains only a few examples and should be extended by the user. An important example phrase is the phrase "Adr" which places an address header for windowed envelops into a letter. Please modify the senders address in the phrase book. You can have different phrase books for specific purposes and you can switch phrase books during editing. Phrase books are stored by default in the F11 folder, but they are normal WORD documents. However, it is easier to edit phrase books through the PSION-B function of F11. Phrases have the following syntax: <>text to insert before cursor<<*>>text to inserd behind cursor<<>> Note the chevrons (<<,>>) around the key, around the cursor symbol and at the end of the phrase! (For technical reasons the chevrons are displayed in this document as <<,>>) The key is a number from 0...9 or any string of 3 (8) or less characters, starting with a letter from A-Z. If the key starts with a lower key letter or a numeric digit, the style information from the phrase book will be discarded and the phrase will be inserted as plain text. If the key starts with an upper key letter, the phrase will be copied with all style information provided there are no clashes in style names. Note: The key length should not exceed the maximum settings under PREFERENCES. If the cursor placeholder <<>> is omitted, the phrase will be inserted in front of the cursor. You can avoid typing in the chevrons by choosing the Insert phrase function, or by using the following hotkeys: -- PSION-TAB followed by a valid but not yet existing key. -- PSION-TAB followed by TAB will prompt you for the key. Both functions will insert the frame of a new phrase into the phrase book and will position the cursor ready for entering the text of the phrase. After making the necessary modifications, press PSION-X to return to the original document. 2.3 The _ Find-File-function _ ------------------------------ This function is used to find files through multiple folders. The search is carried out by name or by content, and files can be opened or merged into the current document. This function is invoked via PSION-TAB followed by ENTER or via the F11 MENU. First specify the base folder, a suitable matching pattern for the file name, and an optional search string for the file content. File name: can contain wild cards, e.g. *.WRD. Search string: any string for which the content of the file shall be searched. Password protected files, PIC files, and currently open files are not searched for content. Restrict the search to the current folder, or search through all subfolders. F11 shows the resulting file list in the left half of the screen. Scroll this list with the usual cursor keys. A preview of the file content is shown in the right hand side window. A label shows the type of file: PIC: PIC-File displayed as image. DAT: Database file ODB: OPL data file SPR: Spreadsheet file No label: WORD file TXT: All other files Password protected WORD- and SPR-files are not displayed, instead the cursor symbol changes to the lock symbol. Also files that are currently open are not displayed, instead the cursor changes to a document symbol. In case of an error, the cursor symbol changes to "x". With DATA and ODB files, use the Diamond or TAB key to position the cursor into the right hand side window. You can scroll in that window, too. Another Diamond, TAB or ESC returns the cursor. -- Use the cursor keys to scroll. The PSION-key accelerates. Any other modifier pressed in addition will position to the top or the end of the lest. -- Press a character keys to specify a search string. The window will only display records that match the search string in field 1. The search string itself is displayed in the top right corner of the window. Press DEL to shorten the search string or CNTRL-DEL to clear the search string. Press ENTER to select a file (or a record). A dialogue box will apear. Depending on the file type you can: -- make the file the main document. -- merge the current file or record into the main document -- open the current file (no F11 functions in the new session) Use this function if you want to bring data into the main document by using the BRING-KEY (PSION-Shift-TAB). 2.4 _ Spreadsheets _ -------------------- SPREADSHEETS can be inserted into WORD or text documents via PSION-TAB followed by "+", via the F11 MENU or via the Find-File function. This function is not available under DATA. The spreadsheet is generated as a table into the main document. The type font for this table is set to Courier for monospaced characters, but other style information is retrieved from the spreadsheet. Note: Spreadsheet character style 1 is used for the frame. This style should be set to normal. Characters in bold style will make the table look ragged on the screen but printouts will usually be well alligned. The maximum size of a table is 60 text lines 105 characters wide (up to 60 spreadsheet rows and 20 spreadsheet columns). For wide tables it may be required to set the document to landscape format (Printer setup). 2.5 _ Hypertext _ ----------------- F11 provides a basic HYPERTEXT functionality for Word-files, ASCII-Text-files, and OPL-files. You can establish hyperlinks within a document and between documents. In addition you can establish hyperlinks to (but not from) DATA records, SPREADSHEETS, PIC-, PCX-, GIF-images (PocView required). Hyperlinks allow you to navigate easily between individual documents and within a document. 2.5.1 Creating hyperlinks ------------------------- a) Hyperlinks within a document. Position the cursor to the target position, for instance the beginning of a chapter. Position the cursor on the word you want to convert into a label. Press PSION-HELP (DIAL) or use the F11 MENU function "Insert label". In the following dialogue box, accept or modify the name of the label and select "this document". F11 will now create a label at the cursor position. The label consists the entered name surrounded with a prefix and a suffix. (The default prefix is "_ " and the default suffix is " _" but you can change the prefix and suffix in the F11 PREFERENCES. For OPL the prefix is "PROC " and the suffix ":"). b) Hyperlinks to another document. You can create a label for an external reference at any position of the current document, but we suggest that you do it at the end of the current chapter, or the end of the document. Write the name of the label and press PSION-HELP (DIAL) or use the F11 MENU function "Insert label". In the following dialogue box, accept or confirm the name of the label and select "other document". F11 will prompt you with a dialogue box for the file name. Optionally you can use the FIND-FILE-FUNCTION for locating the file. After you have selected the file, F11 will create a label at the cursor position. The label consists of the name of the label with a prefix, followed by the file name in curly brackets. (F11 will store the file name only if the document is in the same directory, but the full path name otherwise). 2.5.2 Using hyperlinks ---------------------- Any word in you document can be used as a reference. Just position the cursor on a word and press PSION-Enter. F11 will search the document for a label that matches this word. If the label is found to be external, F11 will open the referenced document and continue to search for the same label in this document. (If the label points to a data file, F11 will search the data records for the first record that matches the word. If the label points to a spreadsheet, F11 will search among the spreadsheet values for a matching word.) We suggest that you indicate hyperlinked words in your document by highlighting them somehow, for instance underlining them or using upper case. To go back to the previous document press PSION-Shift-ENTER. You can step backwards through the whole history of hyperjumps. Examples: This document is hyperlinked. If you view this document under F11, position the cursor on " HYPERTEXT" and press PSION-Enter. 3 _ Menu _ functions -------------------- F11-Menu functions are invoked by pressing Shift-MENU. 3.1 F11 title ------------- / About Copyright information and lets you enter the registration number. Press ENTER, then enter your name and the registration number. F Find file lists all files in the starting directory and all subdirectories matching the search criteria. Select a file for opening or merging by pressing ENTER. For a detailled discussion of this functions, see FIND-FILE-FUNCTION. Shortcut: PSION-TAB followed by Enter Q _ Preferences _ Define the maximum key length (3 or 8) for phrase insertion. The default is 3. Define prefix and suffix for HYPERTEXT labels (not possible for OPL). The default is "_ " and " _". You can also define an umlaut table to alter the effect of keystrokes. For details see the manual of the full version. A Disable/enable F11 Shortcut: Shift-ESC X Exit F11 is switched off, but WORD or DATA keep running without F11's typing aids. Use this function if memory space becomes a problem. 3.2 Phrase title ---------------- I Insert phrase Prompts you with a list of all phrases from the current phrase book. Use the up/down cursor keys to scroll and the ENTER key to select a phrase. ESC aborts. Shortcut: PSION-TAB followed by TAB J Insert date Inserts the current date. The date format is defined in the CLOCK application. Shortcut: PSION-TAB followed by / D Delete inserted phrase. This function is only available directly after an insertion. Shortcut: PSION-DEL B Phrase book. A phrase book is a WORD document containing text phrases for insertion. With this function you can switch between different phrase books, or you can edit a phrase book (MENU key, see PHRASEBOOK). An option allows to use DoubleSpace instead of PSION-TAB for phrase insertion. M Make phrase. This function can only be invoked when text was selected in the main document. It will prompt for a phrase key and will then insert the previously selected text as a new phrase at the end of the current phrase book. After the insertion is completed, press PSION-X to return to the main document. 3.3 Table title --------------- + Insert spreadsheet. Select a spreadsheet and specify the layout. (see SPREADSHEETS ) Shortcut: PSION-TAB followed by + 3.4 HYPERTEXT title ------------------- L Make label Pops up a dialogue box to specify an internal or external HYPERTEXT label. Shortcut: PSION-HELP (DIAL) G Go to label F11 uses the word at the cursor position to search for a HYPERTEXT label. If the label is found to be external, F11 will open the referenced document and continue the search for the label in this document. Shortcut: PSION-Enter Z Go back F11 returns to the previous label. If that label was in another document, then this document is opened. Shortcut: PSION-Shift-Enter 3.5 Typing title ---------------- - Undo Restores the last substitution with the actually typed characters. Shortcut: PSION-ESC S Spaces Define after which characters F11 shall insert spaces (1 or 2). The spaces are inserted when the next character is typed in if the next character is not a space or one of ".,!?:; ". The extra space can be supressed by typing ESC before the next character. No space is inserted between the decimal character "." and a numeric digit. C AutoCase Define after which characters F11 shall convert lower case characters into upper case characters. The conversion can be supressed by typing ESC before the next character. The Normalise option allows to convert unwanted upper case characters back to lower case. (When the Shift-key was released too late.) Examples: NOrmalise -> Normalise PSION -> PSION MicroSOft -> MicroSoft H Hyphen Define after which characters F11 shall convert a single hyphen into a double hyphen or dash followed by a blank. The conversion can be supressed by typing ESC before entering the hyphen. U Umlaut Converts keystrokes into alternate characters. This function is only available if a umlaut translation table is defined. The German version is delivered with a predefined table for German umlauts. For details see the manual of the registered version. T Character table A character table of all characters with an ASCII code >= 32 is displayed. Select a character using the cursor keys, then insert it into your text by pressing the ENTER key. ESC aborts. Shortcut: PSION-TAB followed by * 4. Troubleshooting ------------------ Problem: Not enough memory or not enough diskspace on internal disk. Solution: Switching off F11 (PSION-X in F11 menu) will release some memory. Work is continued under the native WORD processor. Problem: F11 was disabled with PSION-X in F11 menu or automatically after an error situation. The SYSTEM button was pressed, and now you cannot find the suspended WORD editor session. Solution: Simply reopen the document under F11. Problem: You open many documents in parallel. F11 responds with "No system memory" or "O/S error". Solution: Close another open document or another open application to free system resources. Problem: When you open more than 1 document in parallel the open-file-list under F11 seems to be upside down Solution: None. Problem: You try to record something from an F11 session using a macro system but nothing is recorded. Solution: Disable the F11 functions using Shift-ESC. After recording enable again with the same key. Problem: You use a macro system but F11 seems not to work properly. Solution: If you use programmed macros, please check the macro code thoroughly. Note that specific F11 functions cannot be invoked through a macro. Use only the recommended hotkeys containing a letter. Problem: You pulled the SSD where F11 was installed. The system shows a screen asking you to insert the SSD but seems not to answer to the Enter-key or the ESC-key. Solution: Use CONTROL-Enter or CONTROL-ESC to answer the prompt. The following situation should never occur, however, if they occur: Problem: F11 does not terminate or shows "busy" continuously. Solution: Press the SYSTEM button. Then use the System function "Kill application". (You will not loose DATA. Restart F11 by reopening the same document.) Problem: The system freezes. Solution: Reset the machine. Press the reset button (the little hole left of the SYSTEM button) using a wire or similar. Then press the ON button. Do not remove the batteries as this would wipe out the whole internal disk!
